Position Title: Administrative Assistant to DFD/ Finance Office
Department: Finance Department
Supervisor: Divisional Finance Director
FLSA Status: Full Time, Non-Exempt

JOB SUMMARY: Provide administrative and clerical support to the Divisional Finance Director (DFD).

• Associates of Arts Degree in accounting, finance, or business preferred or substitute job experience.
• Two or more years’ experience in an administrative support or office management role.
• Experience in accounting or finance field preferred.
• Ability to interact with others with courtesy and tact.
• Ability to write reports, business correspondence, and standard operating procedures.
• Strong written, verbal communication, analytical, and phone skills
• Strong organization skills and the ability to multi-task in a confidential environment.
• Ability to read and interpret documents such as policy/procedure/process manuals and operating instructions.
• Must be flexible and eager to help others, even when tasks are not listed on job description.

• Provide administrative and clerical support to the DFD and the Finance Department.
• Handles verbal, written and electronic correspondence on the DFD’s behalf and the finance department as needed. Includes reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information.
• Investigates and resolves issues when needed. Exercises independent judgement to delegate and redirect action items/inquiries to the appropriate individual/department without supervision or instruction.
• Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analysis and calculations in the processing of data for recurring internal reports.
• Prepares or assists with the preparation of scheduled and/or ad hoc statistical and narrative reports; performs basic information gathering from variety of sources, analysis and/or forecasting (includes tables, graphs and charts) as directed
• Assist DFD with calendar planning, scheduling of meetings, hosting, confirming appointments/reservations and coordinate travel arrangements.
• Assist with planning team building activities and improving the engagement within the Finance Department.
• Organizes and participates in various department meetings providing necessary documents and taking notes as needed.
• Collaborates frequently with other departments’ admin assistants to complete tasks while retaining the highest level of confidentiality.
• Creates forms and documentation as needed for new processes.
• Receipt and place in safe any walk-in checks, cash, gift cards, etc. that require processing by Morning Mail staff. Occasional bank run for Finance.
• Oversee and maintenance of First Hawaiian Bank (FHB) Web Cash Manager
• Liaison to First Hawaiian Bank (coordinate on-line banking, open accounts, assist with banking needs)
• Assist Corps Officers, Institution Administrators, and DHQ officers and staff in identifying forms, requisition formats, completing such forms on behalf of the finance and other departments as requested by the DFD.
• Order finance department supplies as needed.
• Perform other duties as assigned by DFD

The position requires sitting; stooping, kneeling, bending, stretching, crouching and/or
crawling; standing; walking; manual dexterity and eye-hand coordination; use of vision;
pushing/pulling/lifting/carrying 25-50 pounds, driving a vehicle and travel by airplane if needed.

The position requires talking to co-workers, unit staff, and vendors; requires written
communication to and from co-workers unit staff, and vendors; talking on the telephones;
requires responding to written or verbal requests of co-workers unit staff, and vendors;
requires training/giving verbal and written instructions; requires receiving verbal and
written instructions; requires writing/composing written language; requires reading;
requires visiting/working at other worksites; requires communication via the latest

SK• Associates of Arts Degree in accounting, finance, or business preferred or substitute job experience.
• Valid Hawaii driver’s license
• Competent in oral and written communication
• Intermediate to expert skill with MS Office suite including Word, Excel, Outlook and Power Point
• Ability to prioritize multiple tasks to meet tight deadline
• Travel off-island as necessary (if needed)

• Office equipment such as computers, photocopiers, scanners, calculators, etc.

Most work will be indoors at Divisional Headquarters. Attendance at trainings, both in Hawaii and on the mainland, may be required.
