POSITION SUMMARY: The Program Coordinator will further the mission and vision of The Salvation Army Kroc Center Hawaii by assisting the Program Director and program managers with day-to-day fiscal, administrative, and operational organization; development, implementation, and evaluation of programs; fundraising events, and community outreach. This person must possess effective verbal and written communications, ability to multi task, and have a strong attention to detail.

The Program Coordinator will have a deep commitment to the mission of The Salvation Army, which will be evident in his or her professional life and the manner in which he or she represents The Salvation Army Ray and Joan Kroc Corps Community Center in the community.

1. High school diploma or GED
2. Have at least two years’ experience developing programs for non-profit organizations, including grant research, writing, and implementation.
3. Excellent interpersonal communication skills and the ability to build community relationships. Can comfortably speak in public and in small group settings.
4. Strong analytical skills with a demonstrated ability to identify, research, and understand complex materials on a broad range of topics.
5. Effective oral and written communication skills to present information and ideas in a clear and concise manner.
6. Strong motivational and leadership skills.

1. Bachelor’s degree or higher in Business, Marketing or Communication
2. Have successful experience leading programs for non-profit organizations as well as working with parents and volunteers.

1. Provides administrative leadership in the areas of development, implementation, and marketing of Kroc Center Hawaii fitness, athletic, aquatics and fine arts programs.
2. Keep accurate monthly and yearly statistics; lead collection, organization and upkeep of registration files, attendance logs, emergency contact information, media releases and liability waivers.
3. Work with program managers to implement classes in addition to program guides, handbooks and other collateral pieces throughout the year. Update program database with new class offerings.
4. Maintain accurate program rosters; provide context for decisions related to program offerings and pricing. Reconcile payments between third party software and program database; distribute and follow up on past due payments.
5. Monitor program revenues and expenses; may participate in the development of funding proposals.
6. Collects and analyzes data; prepares and distributes scheduled and special reports to the Program Director, Center Director, and Center Administrator.
7. Process donations and create donor database reports and templates.
8. Initiate and manage a grant calendar and grant research; assist with reports and grant applications, ensuring requirements are met per donor request in a timely manner.
9. Coordinate and assist with special events and fundraising activities for all program areas.
10. Assist program managers with the creation and upkeep of program SOPs, ensuring the safety and satisfaction of participants and their family members.
11. Assist in the training and monitoring of instructors, aides and volunteers. Ensure staff strictly adheres to The Salvation Army mission, the Kroc Center Hawaii vision, and the program department policies and procedures.
12. Serve as point of contact for member inquiries; execute new student scheduling, orientation, and invoicing as needed. Communicate scheduling additions to instructors in a timely and consistent manner.
13. Assist in coordination of outreach programs, field trips and participant team building activities, including selection of destinations and transportation.
14. Handle disputes with participants, parents and staff in a professional, responsible and calm manner on an as needed basis.
15. Coordinate with outside vendors and specialty instructors as needed.
16. Assist with the setup, break down, and maintenance of program spaces.
17. Attend all scheduled staff and management team meetings.
18. Perform other assignments/duties as assigned.

4. Must be able to work with people of diverse backgrounds and circumstances. They must be able to work with limited supervision and in a team setting with other professionals.
5. Must be able to exercise good judgment and be comfortable taking initiative with projects.
6. Ability to work in a fast-paced environment and maintain poise under pressure.
7. Respond to crisis situations in a calm and effective manner.
8. Must possess the self-discipline necessary to perform repetitive tasks without lowering quality of work.
9. Able to work with limited supervision, and work in a team setting with other professionals.
10. This employee will also be required to work weekends, evenings and have a flexible working schedule.

The position requires sitting; climbing and/or balancing; stooping, kneeling, bending, stretching, crouching and/or crawling; standing; walking; manual dexterity and eye-hand coordination; use of vision; pushing/pulling/lifting/carrying 25 pounds and occasionally more than 50 pounds.

The position requires talking to co-workers, clients, vendors; requires written communication to and from co-workers, clients, vendor; talking on the telephone; requires responding to written or verbal requests of co-workers, clients, and vendors; requires training/giving verbal and written instructions; requires receiving verbal and written instructions; requires writing/composing written language; requires reading; requires visiting/working at other worksites; requires communication via the latest technologies.

Equipment: Proficient with current Microsoft software computer programs including Word, Excel, Access, Publisher, PowerPoint, e-mail, internet, and standard office equipment and systems.

Candidate must have a valid driver’s license and insured transportation and participation in The Salvation Army’s Fleet Safety Program on an annual basis.
