Position Title: Social Services/Office Assistant

Status: Part Time

Hours: Tuesday-Friday 9am-4pm

Education and Work Experience:
1. Education: H.S. Diploma or equivalent required
2. Work/Professional Experience: At least 1 year office setting experience and/or Social Service background

Scope of Position: The purpose of this position is to provide outstanding client services and keep the office running smoothly and efficiently. No two days are the same, the daily challenges keep the position interesting and rewarding.

Knowledge, Skills and Abilities Required:
• Ability to work well with the public.
• Bilingual in English and Spanish written and verbal as well as a pleasant and articulate telephone voice.
• Basic bookkeeping skills cash handling, posting charges, and deposits.
• Ability to use a computer, Microsoft Office products, scanner, calculator, and multi-line telephone.
• Must be a self-starter and able to work with minimal supervision. A high level of integrity and dependability with a strong sense of urgency.
• Empathize with clients and remain compassionate and well-mannered if a client becomes emotional or discourteous. Ability to remain calm and collected in the face of emergency situations.
• Remain professional and courteous while handling many tasks with multiple interruptions.
• Be willing to be trained as necessary as job requirements demand

Essential Duties and Responsibilities:

• Answer phone in a timely and professional manner
• Check messages periodically throughout the day and give to appropriate person
• Assist clients coming in for Social Services
• Prepare and issue food boxes as needed
• Refer clients to other agencies as needed
• Input data into Bridges & Others, Corps Management and other programs as needed
• Prepare and send monthly social services reports to the Corps Officer
• Receive Sunday Income and donations from donors and process.
• Prepare and make deposits
• Transmit all income and expenses to Divisional Headquarters
• Process CDS donations and mail
• Send out thank you letters to volunteers/donors
• File Paperwork in a timely manner
• Assist Corps officers with administrative duties and attend mtgs as needed
• Set up Camp registrations
• Update Corps Management Database
• Pickup and open mail
• Assist with seasonal assistances and special events
• Handle other duties as assigned by Supervisor

Physical Requirements:

Requires ability to grasp with hands and fingers to sort and hold food goods.

Continual sitting at a desk using a personal computer and telephone

Walks, stands, bends, and stoops for extended periods

Lift 40lbs pounds regularly and heavier objects occasionally

Working Conditions: Fast paced office environment

Regular and punctual attendance is an essential function of this position.

Works on many projects at once in an open office environment with many interruptions and noise from ringing telephones, printers, copiers, and walk-in traffic.

Frequent phone and in-person contact with people from diverse backgrounds.

Involves frequent interruptions due to limited privacy.

May have phone and in-person contact with angry, hostile, confused, or frustrated people seeking services

The following equipment may be used: telephone, computer equipment, typewriter, fax/copy machine.
