You will be the primary person working with all necessary departments both internally and externally to align all event execution needs. You will be accountable for the ownership and execution of all pre, during, and post planning needs for agency events, trainings, sales initiatives, dinners, and in-destination reward or educational trips. We are looking for someone with high energy and the ability to manage administration and logistics in support of the Events Manager in a busy events environment. You will be responsible for the coordination of up to 60 travel industry events per year.

You must be able to take ownership of all event project needs, prioritize work, and meet deadlines with little supervision. A successful event planner plays a key role in the outcome of our events and overall attendee experience. This is a large part of maintaining our relationship with our key travel agency partners.

A successful Event Coordinator will:

  • Be accountable for owning and completing all assigned tasks from start to finish
  • Use Cvent Event Management Program to create event invitations, send out and manage RSVP lists
  • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations
  • Coordinate and monitor event timelines and ensure deadlines are met
  • Keep track of event finances including check requests, invoicing, and reporting and stay in budget
  • Negotiate and contract venues for all event logistics including room layouts, audio visual equipment, catering, signage, and décor
  • Be the primary person working with all necessary departments both internally and externally to align all event execution needs
  • Align with the Travel Agency Engagement Department and event attendee(s) to finalize necessary materials/giveaways and requests using the established process.
  • Provide support for the annual TMTC Summit event in regards to all registration logistics, air travel, transportation, and post event educational trips.
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
  • Propose new ideas to improve the event planning and implementation process.
  • Develop and maintain positive professional relationships with vendors, as well as internal and external clients through excellent written and verbal communications
  • Participate in Unique Ability Team meetings to propose new ideas to improve the event planning and implementation processes
  • Understand our corporate methodology and integrate Strategic Coach tools and concepts into daily work

Requirements
  • Bachelor’s Degree (BA) from four-year College or university; or two or more years related experience and/or training; or equivalent combination of education and experience. Industry and/or prior TMTC company experience strongly preferred.
  • Excellent communication skills, including writing, proof reading skills, and speaking
  • Excellent interpersonal skills both in person and by phone, with high professionalism
  • Ability to manage and accomplish multiple projects independently
  • Highly organized and excellent time management skills
  • Attention to detail a must
  • Excellent organizational skills – ability to prioritize daily workflow to effectively meet deadlines.
  • Self-starter – ability to work independently in a fast-paced team environment with minimal supervision.
