Organization Profile

Meeting and Reception Services is responsible for providing support services to the entities of the LCMS International Center properties and other corporate organizations of the church in their support of the LCMS mission and ministry objectives.

Meeting and Reception Services provides reception services, meeting planning, administrative, and management services to The Lutheran Church--Missouri Synod.  These services include providing reception services at the International Center, coordination of group travel, budgeting, air, hotel, food and beverage coordination, meeting planning, ground transfers, account reconciliation and preparation of group history as well as communication to the International Center departments and constituencies.

Reporting Relationship

Reports to the Executive Director, Operations

Essential Job Functions

  • Coordinates all aspects of conference and meeting facility use in conjuction with meetings at the International Center to include room scheduling, food service orders and other meeting needs.
  • Coordinates all aspects of event planning for off-site meetings and events for various LCMS entities to include working with the contracted hotel to block the necessary guest rooms, meeting and breakout rooms, food service and any additional meeting needs.
  • Responsible for implementing contracts negotiated by the Senior Director Event Planning and Procurement.
  • Serves as liaison between Synod's chosen travel agency and travelers to include fare approval and credit card reconciliation.
  • Works with the Meeting Coordinator Reception Services to produce meeting resource materials including registration forms, travel information, rooming lists, transportation information, name tages, purchase orders, etc.
  • Manages on-site events when necessary.
  • Works with the LCMS Accounting department for all account reconciliations.
  • Serves as backup and relief for the Meetining Coordinator Reception Services during breaks, lunch periods and time off.  

Education and Experience

  • Bachelor's degree in business-related field.
  • Minimum of five years of event planning experience

  • Excellent organizational, verbal and written communication skills.
  • Proven communicator of details and expectations.
  • Ability to interact positively with a variety of people and able to multi-task.
  • Detail oriented and a self-starter.
  • Proficient in Microsoft Office Suite programs (Excel, Word, Outlook).  Extensive knowledge working with tables and spreadsheets.
  • Ability to exercise discretion, good judgment and maintain confidentiality on restricted matters.
  • Willingness to work overtime and/or weekends as event schedule dictates.
  • Willingness to travel as necessary.
