Department Profiles

The Office of the Chief Administrative Officer is vested with the general management and supervision of the Synod's business and legal affairs, including provision for the coordination of policies and directives of the Synod authorized by its Constitution, Bylaws, and resolutions and for coordination and evaluation of plans and policies of boards and commissions (Bylaw 3.4.2).  The CAO provides executive leadership on behalf of the Synod's Board of Directors in carrying out the programmatic, administrative and financial functions of the national Synod.

The Office of the Chief Financial Officer of the Synod is repsonsible for overseeing all financial-related areas, including accounts receivable, cash receipts, general and cost accounting, risk management, budgeting, and corporate insurance.

Reporting Relationships

The Executive Assistant reports to the Chief Administrative Officer and the Chief Financial Officer.  The Executive Assistant has dual responsibility of supporting both executive offices.

Essential Job Functions

  • Provide a variety of administrative assistance including, but not limited to, scheduling, reporting, and tracking of information.
  • Responsible for gathering information from specified Synod entities.
  • Prepare reports; conduct follow-up activity on necessary items.
  • Make travel arrangements.
  • Receive and screen phone calls.
  • Prepare check requests and expense reports.
  • Assist with various projects or initiatives lending support to the Administrator to the Chief Administrative Officer as required.
  • Serve as a back-up to the Administrator to the Chief Administrative Officer.
  • Assist with projects with the Office of the Secretary as necessary.
  • Serve as an administrative liaison for the triennial convention.
  • Other duties as assigned.

Education and Experience

  • Administrative and secretarial training and experience in an executive environment.
  • Minimum of five years of experience in providing administrative and secretarial support.

Knowledge, Skills and Abilities

  • Advanced technical skills and/or aptitude, especially in the use of Microsoft Office applications (Outlook, Excel, Word, PowerPoint) and Adobe Acrobat Pro.
  • Professional with superior interpersonal skills capable of working well with all levels of internal and external customers.
  • Knowledge of structure of the LCMS and its related entities is preferred with commitment to the priorities of the Synod.
  • Excellent verbal and written communication skills required with the ability to handle confidential information.
  • Ability to work collegially with the Administrator to the Chief Administrative Officer, working together toward meeting the goals of the Office with efficiency, accuracy and timeliness.
  • Ability to be flexible with schedule demands.
  • Ability to apply good judgment criteria as situations surface.
  • Ability to exercise discretion in separating and prioritizing the matters that belong to each of the offices being represented.
